Description
Summary
The Meeting & Event Professional is responsible for planning, coordinating, and executing conferences, meetings, and events for multiple clients. This role partners with internal teams, subject matter experts, volunteers, and vendors to develop and deliver successful in-person, virtual, and hybrid events. Responsibilities include program development, sponsorship coordination, budgeting, logistics management, vendor oversight, onsite event management, and post-event evaluation.
Certified Meeting Professional (CMP) certification is preferred but not required.
Duties
- Collaborate with internal staff, volunteer leaders, and program committees to develop meeting content, timelines, and event deliverables.
- Plan and manage all aspects of conferences and meetings, including venue research and selection, contract negotiations, housing, food and beverage, audiovisual services, room setup, speaker management, registration, and event logistics.
- Develop, monitor, and manage event budgets, including attendance projections, expenses, revenue, and financial reconciliation.
- Serve as the primary liaison with hotels, convention centers, and other event venues.
- Maintain historical records of attendance, housing, food and beverage, and other event metrics to support future planning.
- Lead onsite event operations and supervise staff and volunteers to ensure successful execution.
- Coordinate with vendors, contractors, and service providers to deliver high-quality event experiences.
- Oversee event registration processes and collaborate with internal teams to ensure a positive attendee experience.
- Work with marketing and communications staff to develop and distribute promotional materials and event communications.
- Coordinate the development, maintenance, and updates of event websites, mobile apps, and registration databases.
- Prepare meeting materials, agendas, participant communications, and other event resources.
- Develop sponsorship opportunities and assist with sponsor recruitment, fulfillment, and relationship management.
- Conduct post-event evaluations and provide recommendations for continuous improvement.
- Perform other duties as assigned.
Qualifications
- Experience planning and executing conferences, meetings, or events.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Experience managing budgets and negotiating vendor contracts.
- Ability to work collaboratively with staff, volunteers, vendors, and stakeholders.
- Proficiency with event management software, databases, and Microsoft Office or comparable business applications.
- Experience with association management or nonprofit organizations is a plus.
Physical Requirements
- Ability to sit for extended periods while performing computer-based work.
- Ability to lift and carry event materials and equipment as needed.
- Ability to stand and walk for extended periods during meetings and conferences.
- Ability to work occasional evenings and weekends based on event schedules.
- Travel will be required.
