Description
As a International Private Bank Events - Senior Associate in Private Bank Events team you will deliver high‑quality client experiences. You will interact with different team heads spanning event planning, project management, hospitality activation, data management and onsite execution. You will lead individual projects and contribute to larger regional and global programmes within a collaborative team. Availability outside office hours, including weekends, alongside periodic travel is expected.Job responsibilities
- Support planning and delivery of client events that align with IPB business priorities and brand standards. Assist with special projects, including internal flagship events, as needed.
- Assist with end‑to‑end logistics: timeline tracking, communication with venues, F&B selection, speaker management, AV support, guest travel, event associated materials and post-event summaries.
- Help manage event calendars/ reporting, management of high volumes of data, presentation decks, contracts, invoices, and vendor onboarding in line with risk and process requirements.
- Research venues, new event formats, vendors, and regional trends.
- Coordinate registration and guest services: invitation lists, RSVP tracking, seating, badge production, and onsite check‑in via inhouse platform using approved templates.
- Support Head of IPB Event Sponsorships with event hospitality for approved sponsorships: logistics support, merchandise selection, interaction with vendors, event-related communications.
- Manage ticketing opportunities: communicate with front office and XLOB partners, track attendance, ensure strategic use of available tickets and develop strong partnerships.
Required qualifications, skills and capabilities
- Work experience in corporate events.
- Strong organization and attention to detail; able to manage multiple tasks and meet deadlines.
- Good problem‑solving skills and a practical approach to logistics and vendor coordination.
- Proficient with Microsoft Excel, Word, PowerPoint, and Outlook; familiarity with event platforms.
- Clear and professional written and verbal communication skills.
- Comfortable working with stakeholders at different levels and providing timely updates.
- Team player with a positive, proactive mindset; steps in to help and communicates clearly & early.
- Composed under pressure and adaptable to changing needs onsite.
- Flexibility to work extended hours and travel locally and internationally when required.
Preferred qualifications, skills and capabilities
- Language skills a plus (Spanish, French, Italian, German or Mandarin).
- Financial services experience helpful but not required.
