Duties
SUMMARY
Under direction of the Dean of Workforce and Community Partnerships, the Events Coordinator is responsible for the administration, production, and implementation of programs, events, and services in college facilities. In accordance with the mission, vision and strategic objectives of Workforce and Community Partnerships, the Events Coordinator is responsible for attracting and serving customers and ensuring services are delivered in accordance with established standards.
Duties include event planning and production; event administration; and marketing/communication related to event coordination. The Events Coordinator is dedicated to the learning college concepts by developing programs and facilitating activities that promote student success and lifelong learning.
Essential duties and responsibilities include the following. Other duties may be assigned.
1. Proposes enhancements to improve event planning and implementation process
2. Develops cost estimates, contracts, and invoices in accordance with college policies and subdivision revenue goals
3. Manages relationships with external event vendors, ensuring contracted services are delivered in accordance with agreements and College/division standards
4. Makes recommendations and arranges food and beverage services based on client preference
5. Ensures appropriate decor/signage meets the quality expectations of the subdivision and client
6. Creates and revises room layouts for each event
7. Manages on-site production and clean up for events as necessary
8. Coordinates with other college departments as necessary to deliver events
9. Communicates in a timely manner with internal and external event organizers
10. Prepares event outlines for approval by customer
11. Assists with preparing event budgets including provisions for target profit margins
12. Coordinates appointments and visits to promote conference center facilities and capabilities
13. Maintains and distributes an accurate schedule and calendar of events
14. Maintains a resource list of recommended external vendors
15. Prepares contracts, addendums, and invoices in a timely manner per department standards
16. Serves as primary point of customer service for events and customers
17. Manages customer relations, including collection efforts regarding delinquent accounts and receivables
18. Assists College departments with presenting and promoting programs/services to prospects
19. May participate in college and subdivision outreach activities (presentations and events)
20. May serve on College committees and task forces as required
21. Develops relationships with internal and external groups, agencies, schools, and community groups to enhance and promote programs and services
22. Supervises staff including any contract, temporary and support staff when conducting an event
23. Ensures that vendors and/or independent contractors are effective and represent the mission and vision of the division Ensures vendors and independent contractors deliver contracted services that meet event requirements, contractual expectations, and College/division standards
24. Communicates effectively and collaborates with stakeholders during the planning and execution of events
25. Other duties as assigned
Education/Experience
- Bachelor's degree in education, business administration, hospitality management, or applicable degree required.
- Three (3) or more years of business, hospitality, event management, communications, or relevant work experience required.
- Budgeting and fiscal responsibility experience

Qualifications
- Supervisory experience preferred
- Salesforce CRM experience preferred
- Organizational and project management skills
- Budget management and analysis
- Computer proficiency and ability to utilize databases/ CRM platform
- Strong verbal, listening, and written communication skills
- Ability to work effectively with a diverse college workforce and client group; ability to lead and work collaboratively with staff, faculty, consultants, and others
- Ability to monitor the attainment of defined objectives and goals
- Understands and effectively works in business, non-profit, hospitality, and higher education environments
- Must be available outside regular business hours to support scheduled events, customer needs, and address urgent operational issues
