- Community Director
Description
The Community Director oversees the operations of the Mountain Meadows Community in Ashland, Oregon. This is a position that requires a person who is a skilled communicator with the ability to work with many differing personalities. This person needs to be a problem solver who can bring the community partners together and communicate with transparency. This person should be able to see how all parts of the operation work together; however, have the ability to follow through on the details of the day to day operations. The residents of the community direct staff on major projects and priorities. The Community Director needs to have the ability to work within this framework.
This position is full time, on-site at the Mountain Meadows campus covering normal business hours Monday through Friday, and providing limited availability on weekends and holidays. This position is responsible for overseeing Community operations within an established budget; hiring and supervising support and maintenance staff; assuring compliance with HOA statutes and MMOA, Condominium governing documents; working with the MMOA and Condominium Boards of Directors and with Committees, and interfacing with the major contractors for dining and landscaping services. The Community Director will be patient, diplomatic, respectful and caring. This individual will demonstrate warmth, friendliness and encouragement, while at the same time maintaining compliance with applicable laws, MMOA and Condominium Associations governing documents and in accordance with residents’ needs.
DUTIES AND RESPONSIBILITIES:
Operations Management
- Oversee the execution of all tasks in the Maintenance Schedule
- Establish and maintain performance standards for maintenance and other services provided
- Oversee budget spending decisions and authorize invoice payment as appropriate
- Obtain competitive bids from qualified vendors and manage vendor contracts
- Assure that the work of contractors is completed according to specified standards
- Manage resident input on operations, landscaping , etc. and assure issues are promptly resolved
- Monitor and assist the dining services vendor as required in the efficient operation of the kitchen and dining room
- Work to identify and correct any and all safety deficiencies
- Respond to emergencies that threaten residents and/or common property
Communication
- Facilitate communication between condo associations, committees, groups and boards
- Contribute regularly to Community communication vehicles
- Maintain a reasonable “open door” policy for the Community’s daily needs
- Promptly respond to all email and phone communications
- Represent MMOA and Boards at civic gatherings and meetings as needed
General Administrative
- Ensure that community documents and files are properly maintained, stored and easily retrievable
- Manage all aspects of Information Technology for the staff offices and the Clubhouse
- Responsible for collection efforts, communicating with residents regarding delinquent dues payments
- Manage the day-to-day work of the staff, ensuring that maintenance work orders are completed accurately and timely
- Assure that proper room setup is provided for meetings, forums and events
Staff Management
- Hire and lead qualified staff to deliver all services
- Address performance and interpersonal issues as appropriate
- Oversee payroll data, ensuring labor hours are correct and overtime is minimized
- Assure staff members are fiscally responsible and operate within budgetary guidelines
- Evaluate staff performance on a regular basis; take action as appropriate
- Provide staff training as required
- Advise the MMOA Board on staffing decisions
HOA Management
- Remain current with Oregon HOA Statutes
- Enforce community standards as defined in the CC&Rs, Bylaws and Rules & Regulations
- Coordinate MMOA and Condo Association Reserves studies and updates
- Assist with MMOA and Condo Association Annual Meeting and Elections processes
Board and Finance Committee
- Prepare monthly management reports to the MMOA and Condo Boards of Directors
- Meet monthly with the Finance Committee; present bids as outlined in the Rules and Regulations.
- Assist the Controller and Finance Committee Chair in ensuring that monthly Financial Reports are accurate and professionally prepared.
- Assist in the preparation of the Annual MMOA and Condo operating and reserves budgets
Committees
- Be familiar with functions of all Committees; attend or delegate staff attendance as appropriate
- Provide fiscal guidance to committees and associations
Resident Assistance
- Respond to individual needs of residents and their family members as necessary and/or appropriate
- Respond to resident concerns with professionalism and compassion.
Public Interface
- Ensure compliance with all governmental licensing and safety requirements, i.e. elevator, fire, BOLI, OSHA, FHA, business, etc.
- Work cooperatively with the City of Ashland and Jackson County
- Interact with government agencies as required, e.g. City Hall, Fire and Police, Adult Protective Services, Department of Health and Human Services.
Requirements
REQUIRED EXPERIENCE
- Good Communication skills.
- Strong leadership skills.
- A strong and documentable management background in supervision.
- The ability to develop and maintain a friendly professional rapport with residents, employees, vendors and community partners.
- Ability to monitor and evaluate personnel and programs.
- Experience in Community Management a plus.
- Experience in 55+ community management a plus.
Development
- Attend professional management training as warranted
