Position Overview
We are seeking a highly experienced Senior Estate Planning & Trust Administration Paralegal to lead and manage our estate planning and trust administration departments. This is not an entry-level or purely production role: the right candidate will run both departments day to day with minimal attorney direction — managing workflow, deadlines, and client communications; drafting sophisticated documents for attorney review; and supervising and mentoring department staff. You will work directly with the firm's principal attorney and serve as the operational backbone of estate planning and trust administration department.
Responsibilities
Department Leadership -- Manage the day-to-day operations of the estate planning and trust administration departments with minimal attorney supervision Oversee department workflow, matter status, and deadlines across all active files- Supervise, train, and mentor department staff Develop and refine drafting templates, checklists, and department procedures Serve as the primary point of contact for clients on matter status and next steps Report directly to the firm's principal attorney on department performance and matter priorities
Estate Planning
Draft complete estate plans for attorney review, including revocable living trusts, wills, durable powers of attorney, advance health care directives, and certifications of trust Prepare trust amendments and restatements Prepare deeds, trust transfer documents, and related recording packages for trust funding Coordinate signing appointments and prepare execution-ready document package
Trust Administration
Manage post-death trust administration matters from intake through final distribution Prepare notices to beneficiaries and heirs under Probate Code § 16061.7 Oversee asset collection, valuation coordination, and preparation of distribution documentation and receipts Prepare trust administration correspondence to beneficiaries, financial institutions, and county offices Track statutory notice periods, deadlines, and follow-up dates across all administration matters
Salary: $90,000 – $130,000 per year, depending on experience

Qualifications
5+ years of experience as a paralegal in estate planning and trust administration, with California experience required Demonstrated ability to manage a caseload and run matters independently with minimal attorney direction Prior experience supervising or training staff strongly preferred Strong working knowledge of the California Probate Code provisions governing trusts and trust administration Advanced drafting experience with living trusts, wills, and ancillary estate planning documents Excellent written and verbal communication skills and sound professional judgment Strong attention to detail and ability to manage competing deadlines across two departments Proficiency with Microsoft Office (Word, Excel, Outlook); experience with legal practice management or document drafting software a plus Bilingual English/Spanish strongly preferred (to serve our Spanish-speaking clients) Notary Public commission a plus## Compensation & Benefits
