Job Summary
The Patron Program Coordinator provides administrative and programmatic support for a high-level membership and donor program. This role supports acquisition, renewal, and stewardship efforts for patron households contributing significant annual support. Working closely with advancement, membership, and events teams, the Coordinator ensures smooth execution of campaigns, events, communications, and donor engagement initiatives.
This position requires strong organizational skills, attention to detail, database proficiency, and the ability to interact professionally with high-level patrons both in writing and in person.
Primary Responsibilities
Provide comprehensive administrative support for the Patron Program, including scheduling, reporting, and meeting coordination
Assist with patron acquisition, renewal, and lapsed recapture campaigns, ensuring timely deployment of communications
Support planning and execution of patron-level programs and events in coordination with the events team
Prepare event materials and coordinate logistics for patron gatherings and special initiatives
Maintain and update program materials, brochures, publications, and event calendars
Track meeting notes, donor interactions, and relevant updates within the donor database system
Coordinate private tours and special access opportunities for high-level patrons
Serve as a liaison to patrons via phone, email, and in-person interactions
Collaborate with advancement operations and patron services teams to ensure effective stewardship and recognition efforts
Support annual recognition updates and related installations
Perform additional duties as assigned
Requirements
Requirements & Qualifications
Education:
Bachelor’s degree required
Experience:
2–3 years of relevant experience working with members, donors, patrons, or in advancement/fundraising roles
Skills & Abilities:
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Experience with donor management or fundraising databases preferred
Strong verbal and written communication skills
Highly organized with strong attention to detail
Self-motivated and able to manage multiple priorities
Professional demeanor with ability to engage effectively with high-level supporters
Ability to work occasional evenings and weekends as needed
Knowledge of the art and cultural sector preferred
