Summary of Position:
The Grants & Stewardship Manager is a full-time position that leads The CARE Center’s grant writing, grant management, and donor stewardship systems to support sustainable revenue growth and mission impact.
This individual will research funding opportunities and prospective donors, write first-draft grant proposals and reports, coordinate cross-departmental on content collection, and ensure timely submission and compliance with funder requirements. This position will also oversee the organization’s donor database management system, ensuring data accuracy, reporting integrity, and the development of strong stewardship processes and best practices.
The Grants & Stewardship Manager will report to the Senior Director of Community Engagement and work closely with the Development & Communications Manager, ROAR Licensing Manager, finance, and other program and executive leadership to ensure accurate proposals, timely reporting, and compelling impact storytelling that supports our mission.

Abilities:
- Exceptional writing, editing, and proofreading skills
- Strong project management and organizational abilities
- Close attention to detail and the ability to manage multiple deadlines simultaneously
- Ability to build and manage systems and workflows
- Proficiency in donor CRM/database systems (Salesforce, Bloomerang, or similar preferred)
- Proficiency in Microsoft Office and spreadsheet management
- Ability to work independently and within a team environment to achieve common goals
- Ability to read and comprehend financial reports in relation to agency funds
- Ability to maintain a positive and professional attitude under pressure
- Must be culturally sensitive and respectful of all individuals
- Experience with federal and/or state grant management preferred
Essential Job Functions:
Grants & Reporting:
- Research and identify new grant opportunities aligned with the organization’s mission and strategic priorities
- Manage grants calendar to ensure timely submission, reporting, and deadlines
- Manage the full lifecycle of grant applications including prospect research, proposal writing, budget preparation, and submission with support of leadership
- Maintain and update grant templates, boilerplate language, and standardized attachments
- Collaborate with program staff to gather program data and outcomes
- Track and reuse grant content to improve efficiency and consistency
- Maintain a comprehensive grants calendar including submission deadlines, reporting timelines, and renewal dates
- Draft and coordinate timely submission of grant reports
- Collaborate with Director of Finance to ensure grant budgets align with grant requirements and to ensure accurate financial documentation and reconciliation
- Maintain organized grant files and documentation systems
- Ensure compliance with funder recognition and branding requirements
- Prepare briefing materials and summaries for leadership prior to funder meetings
- Coordinate site visits and funder meetings when needed
Donor Database Management & Stewardship:
- Oversee and maintain the organization’s donor database to ensure accuracy and consistency
- Develop and implement best practices for gift entry, acknowledgments, pledge tracking, and reporting
- Generate reports to support tracking revenue goals, strategic planning, forecasting, and board reporting
- Track institutional funder relationships, deadlines, and engagement history
- Develop and implement structured stewardship plans for grantors and key donors
- Collaborate with the Development & Communications Manager to ensure donors are thanked, informed, and engaged
- Support leadership in preparing donor reports and proposals
Community Impact:
- Partner with CARE Center program staff to collect data and outcome reporting
- Assist with fundraising initiatives and special projects as needed
- Support CARE Center fundraising events, including Brave Ball, CARE Center Classic Golf Tournament, and Young Professionals events
Requirements
Required Knowledge and Education:
Bachelor’s degree in nonprofit management, communications, public administration, business, or related field, or equivalent years of experience
Minimum of three years’ experience in grant writing, fundraising, development operations, or related field
Demonstrated success in managing grant submissions and reporting
Must have a valid driver’s license, reliable transportation, and the ability to work in-person in Oklahoma City when necessary
Must pass a nationwide background check
