Responsibilities
We are seeking a proactive and highly organized Executive Assistant to support our Chief Product Officer (CPO) and Chief Technology Officer (CTO). This role requires more than traditional administrative support—you will assist with tracking business metrics, contributing to marketing and creative initiatives, and ensuring operational efficiency across the office of the CPO / CTO.
Key Responsibilities
● Manage complex calendars, meetings, and travel arrangements, proactively seeking opportunities to systemize operational efficiency in the executive's schedule.
● Prioritize and coordinate schedules to ensure the executive's time is used effectively for high-impact activities.
● Prepare and edit correspondence, communications, presentations, and other documents, leveraging AI tools to enhance speed and quality where appropriate.
● Support in tracking and reporting on business performance metrics and assist with preliminary budget planning and expense tracking for the executive's office.
● Assist in preparing executive dashboards, summaries, and key insights for leadership meetings.
● Partner with internal teams to ensure the CPO / CTO has accurate and timely information to drive decision-making and achieve stakeholder alignment across product, engineering, and sales organizations.
● Collaborate with Marketing and Creative teams on presentations, branding, and communications.
● Handle highly sensitive and confidential information with discretion.
● Serve as a liaison between the CPO / CTO and internal/external stakeholders, fostering strong professional relationships and facilitating stakeholder alignment on key product initiatives.
● Proactively identify needs and resolve issues before they arise, with a focus on improving overall operational efficiency for the CPO / CTO.
Education / Qualifications
● Proven experience (5+ years) supporting senior executives in a fast-paced environment.
● Exceptional organizational skills with the ability to manage multiple priorities simultaneously and drive operational efficiency.
● Strong analytical skills with the ability to work with metrics, data, and familiarity with principles of budget planning.
● Creative mindset with experience supporting marketing, branding, or communications initiatives.
● High level of integrity, discretion, and professionalism.
● Excellent written and verbal communication skills, with proven success in managing executive communications for stakeholder alignment.
● Advanced proficiency with Microsoft Office Suite; experience with CRM, analytics platforms, and exposure to current AI tools for administrative or creative tasks is a significant plus.
