LOCATION: Remote (East Coast U.S. preferred) with two annual trips for midyear and annual meetings (domestic/international travel)
JOB TYPE: Full Time
EXPERIENCE: 2+ Years legal industry experience preferred, but not essential
OVERVIEW
The Administrative Assistant plays a key role in ensuring the organization delivers—and its members receive—the highest level of value through a well-defined benefits program supported by exceptional client service. PRIMARY DUTIES AND RESPONSIBILITIES
The Administrative Assistant will support the CEO and Membership & Event Manager in executing organizational priorities and all initiatives. Core duties and responsibilities include but are not limited to:
- Scheduling and managing details and resources for operational and practice group meetings and events
- Track and prepare reports on networkwide initiatives, activities, events, etc. to surface opportunities for greater member satisfaction and engagement
- Support preparation, execution, and follow up activities for regular/ad hoc meetings and interactions
- Coordinate Board meeting logistics, including scheduling, distribution of meeting materials; maintain accurate Board records, minutes, and follow-up on action items
- Prepare/process all invoices/payments in Bill.com related to regular daily business operations, events, etc.
- Responsible for CRM (HubSpot) ensuring network/member data is current/correct across multiple reports
- Assist in managing website and social media accounts
- Support administrative, logistics, and communication needs including tracking deadlines for vendor contracts and payments, assisting in budget management, supporting meeting registration workflow, preparing related materials (agenda, attendee lists, etc.) for print/distribution, ordering/restocking/organizing supplies, handling shipping, coordinating with sponsors/consultants, making reservations, etc.
- Twice a year, provide on-site support during in-person events including coordination with attendees, venue, vendors, etc.
- Provide support during/after virtual meetings to include recording, monitoring chat, preparing video/audio files for release, drafting related communications, etc.

Paid Time Off (PTO): Two (2) weeks of vacation, five (5) sick leave/personal days, and 10 holidays during each 12-month calendar year period; and

Requirements
QUALIFICATIONS
- Bachelor’s degree required, preferably in Business Administration, Marketing, Communication, Business or similar/relevant field
- Minimum two years of post-graduate professional experience; background in professional services or an association environment preferred. Legal industry familiarity a plus, but not required.
- Strong interpersonal skills including a tangible ability to interact in a professional manner (i.e., demonstrating diplomacy) with individuals (e.g., attorneys) at all leadership/organizational levels as well as fellow staff, consultants, sponsors, vendors, etc.; comfortable working across time zones and with global stakeholders
- Consistent demonstration of sound judgment and dependability; strong critical thinking and problem-solving skills
- Highly organized with excellent attention to detail and exceptional project/time management skills including the proven ability to manage competing priorities
- Good written/verbal communications skills, including the proven ability to develop as well as edit content
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams) and Adobe Acrobat is essential; experience with HubSpot, WordPress, QuickBooks, Bill.com, Zoom, Vimeo, SoundCloud, SurveyMonkey – or similar platforms – and LinkedIn is a plus but not necessary
- Flexibility to travel within the U.S. and internationally at least twice a year
