RESPONSIBILITIES

The Membership & Operations Manager works collaboratively with the Executive Director and committees to grow and develop the membership, ensure sound financial management, and oversee the effective and efficient day-to-day operations of the Book Club of California. The Membership & Operations Manager will produce and develop publicity and marketing materials for membership activities, programs, publications, and other organizational initiatives. They will be responsible for membership acquisition, renewal, and stewardship. From beginning to end, the Membership & Operations Manager will oversee, execute, and support projects by working with volunteers, staff, members, and vendors.

The Membership & Operations Manager is an exempt, full-time (40 hours/week) position with standard hours. Additional evening or weekend hours may be added. “In-office hours” are negotiable/flexible, as some work can be done remotely or from home, while other responsibilities are based in the office.

The following list outlines the essential functions of this job, but does not restrict the tasks that may be assigned:

Membership Management

  • Manage the execution of membership acquisition and renewal programs, including direct mail and email campaigns. Develop and meet annual membership acquisition and retention goals.
  • Manage membership data records including processing applications and renewals, handling related correspondence, recording and acknowledging payment receipts, providing member stewardship, etc.
  • Serve as the primary staff contact for members and the primary staff support for the Membership Committee. Support the work of committees that impact the membership and membership benefits or general operations of the club.

Club and Office Management

  • Serve as primary staff contact and manage all facility and operations-related issues including the stockroom, off-site storage, office supplies, certain building/landlord interactions, etc.
  • Manage general voicemail and email inboxes as assigned.
  • Perform light housekeeping and general maintenance of the club rooms and workspaces. Oversee the ordering and inventory of supplies.
  • Oversee accounts receivable including performing bank, PayPal, and Square transaction processing. Prepare weekly deposits.
  • Support Executive Director in the management and execution of facility rentals.

Support for Programs, Publications, Library, etc.

  • Ensure accurate member, donor and constituent records by maintaining databases for a variety of Club uses including announcements, publication mailings, email outreach, etc.
  • Help identify, schedule, and execute both in-person and virtual programs including coordinating event logistics and marketing/outreach (social media, email, print).
  • Create and/or edit copy and manage printing of promotional materials, including maintaining the website and posting on social media.
  • Build and oversee a volunteer corps to support and execute Club activities as needed.

Other Responsibilities

  • Collaborate with Executive Director and staff to execute a strategic communications plan to advance the organization’s mission, goals, and objectives.
  • Lead or support special projects as needed.
  • Support the accounts payable function, financial reporting, etc. as needed.
  • Collaborate with staff to deliver quality member and guest services at Club events including supporting hospitality efforts, staffing events, troubleshooting AV, etc.
  • Maintain strong working relationship with BCC members and guests.
  • Support a culture of philanthropy and promote membership and volunteerism.
  • Other duties as assigned.


Requirements

REQUIRED QUALIFICATIONS

  • B.A., with a focus on marketing, communications, book arts, and/or related field
  • At least 1 years experience working in marketing, membership development, communications, or programming
  • At least 1 years experience in customer service
  • Some experience with accounts receivable/payable and demonstrated experience with financial reporting and/or bookkeeping duties
  • Strong interest in history, literature, library studies, and/or the art of the book
  • Superb oral and written communication skills
  • Attention to detail
  • Strong understanding and proficiency with computer software programs such as Office, Creative Suite (experience with InDesign, Photoshop, Illustrator), Wordpress, Mail Chimp, and Survey Monkey
  • Excellent organizational skills; ability to set and manage priorities and workflow
  • Ability to work independently and as a member of team
  • Strong interpersonal skills and a positive, flexible attitude
  • Commitment to excellence and high personal standards of integrity
  • Must be able to lift 35 lbs.
